WEBSITE PRIVACY POLICY

Effective: January 1, 2026
Applies to: www.paulloperdds.com

This policy explains what information we collect through our website, why we collect it, and what we do with it. It covers our website only. This is separate from our HIPAA Notice of Privacy Practices. Information in your dental record — your chart, radiographs, treatment history, and billing — is protected health information governed by HIPAA and Ohio law, and is covered by our Notice of Privacy Practices rather than by this policy. Please do not send us details about your symptoms, diagnosis, or treatment through a website form or by ordinary email. Email is not a secure channel. Please call the office instead.

Information You Give Us

If you fill out a contact form, request an appointment, or email us through the site, we receive whatever you choose to enter — typically your name, telephone number, email address, and your message. We use that information only to respond to you and, if you become a patient, to schedule and provide your care.

Information Collected Automatically

Like most websites, ours records basic technical information when you visit: your IP address, browser type, device type, the pages you view, and the site you arrived from. We use this to keep the site running, diagnose problems, and understand which pages visitors find useful.

Cookies and Analytics

Our website uses cookies, which are small files stored by your browser. Some are necessary for the site to function. Others help us measure traffic and understand how visitors move through the site. You can block or delete cookies in your browser settings, though parts of the site may not work correctly if you do.

We may use third-party analytics services, which set their own cookies and receive the technical information described above. We do not give these services your name, your contact details, or any information about your dental care.

How We Use Your Information

  • To answer your questions and return your calls or messages

  • To schedule, confirm, and remind you of appointments

  • To operate, secure, and improve the website

  • To comply with our legal obligations

What We Do Not Do

We do not sell your personal information. We do not rent or trade your contact details. We do not use information collected through this website to target advertising to you across other sites.

When We Share Information

We share website information only with the vendors who help us operate the site and the practice — our web host, our practice management and scheduling software, and similar service providers — and only as needed for them to perform that work. We may also disclose information when required by law or to protect the safety of our patients, our staff, or the public.

Text Messages and Email

If you give us your mobile number, we may send you appointment reminders and confirmations by text message. Message and data rates may apply. You may stop these at any time by replying STOP or by telling our front desk. Opting out of reminders will not affect your care in any way.

Security

We use reasonable safeguards to protect the information we hold. No website or email system is completely secure, and we cannot guarantee the security of information you send us over the internet.

Children

We treat many children in our practice, but this website is not directed at children and we do not knowingly collect information online from a child under 13. A parent or guardian should submit any form on a child's behalf. If you believe a child has sent us information through the site, please contact us and we will remove it.

Links to Other Sites

Our site may link to insurance carriers, professional organizations, or patient education resources. Those sites have their own privacy policies, and we are not responsible for their practices.

Your Choices

You may ask what website information we hold about you, ask us to correct it, or ask us to delete it, and we will honor reasonable requests. Requests concerning your dental record are handled instead under our Notice of Privacy Practices, which sets out your rights under HIPAA and Ohio law.

Changes to This Policy

If we change this policy, we will post the revised version with a new effective date.

ACCESSIBILITY STATEMENT

Effective: January 1, 2026
Standard: Web Content Accessibility Guidelines (WCAG) 2.1, Level AA
Applies to: www.paulloperdds.com

Our office is a place where everyone should feel welcome, and that includes our website. We want every patient to be able to find our hours, understand our services, and reach us without difficulty.

What We Are Working Toward

We aim to meet the Web Content Accessibility Guidelines (WCAG) 2.1 at Level AA, the standard most widely referenced for public websites. Our site partially conforms to that standard, which means most of the site meets the guidelines while some content may not yet.

Steps We Have Taken

  • Text alternatives for images that convey information

  • Headings and page structure that screen readers can navigate in a logical order

  • Color and contrast chosen so that text remains readable

  • Pages that reflow and stay usable on phones and tablets

  • Links written to make sense on their own, rather than "click here"

  • Keyboard access to navigation and forms, without requiring a mouse

Known Limitations

We would rather be straightforward about the gaps than claim more than we can deliver. Some documents, forms, and third-party content on our site — including embedded maps, scheduling tools, and PDF files — may not be fully accessible. Where a third party controls that content, we work with the vendor toward a fix, and in the meantime we will provide the same information another way on request.

If You Have Trouble Using This Site

Please tell us. If any page or document is difficult for you to use, call the office and we will read the information to you, mail it, or provide it in another format that works for you. There is no charge for this, and you do not need to explain why you are asking.

When you contact us, it helps if you can tell us which page you were on, what you were trying to do, and what device or assistive technology you were using — but none of that is required.

Accessibility at Our Office

If you need an accommodation for your visit — wheelchair access, a longer appointment, a quieter time of day, help completing forms, or assistance communicating — please let us know when you schedule so that we can be ready for you.

Ongoing Work

Accessibility is not a one-time project. We review the site periodically, address issues as we find them, and consider accessibility when we add new content or features.
